AI Transparency Notice

Last updated: 15 October 2026

GenFleet (Genfleet LLC (in formation), Nasr City, Cairo, Egypt) runs AI agents for businesses. This notice explains, in plain terms, how those agents use AI and what happens to the data they handle.

1. You may be talking to an AI

When a business uses GenFleet on WhatsApp, Messenger, Instagram, Telegram, Slack, Discord or its own website, the replies you get are written by an AI agent, not a person, unless the business tells you a person has taken over.

Businesses using GenFleet must tell you that you are talking to an AI and give you a way to reach a person.

2. How a reply is made

  1. You send a message.
  2. The agent combines it with the business's instructions, earlier messages in your conversation, and any facts or documents the agent has been given.
  3. It sends that to a large language model (an AI model run by a model provider) to write a reply.
  4. The agent may use tools, such as looking up an order in the business's system. Actions the business marks as sensitive wait for a person at the business to approve them.
  5. The reply is sent back to you on the same channel.

3. Limits of AI replies

  • AI replies can be wrong, incomplete, or out of date, even when they sound confident.
  • They are not legal, medical, financial or other professional advice.
  • Check anything important with the business directly.
  • Businesses must not use AI replies alone to make decisions with legal or similarly significant effects on you.

4. What the agent remembers

  • Conversation history: by default, kept for about 24 hours so the agent can follow your current conversation. It does not remember earlier conversations. If the business turns on memory about its customers, your history is kept for up to 24 months after you last contacted the business, so the agent can recognise you when you come back. If the business turns memory off again, the stored history is deleted, except messages from the last 24 hours, which are deleted within a day.
  • Saved facts: only if the business has turned on memory about its customers and allows it, the agent may save short facts you share (for example, a preferred delivery address). Saved facts go into the agent's general memory, which it uses in all its conversations, and are not linked to you. They are kept until the business deletes them. Businesses are told not to let agents save customers' personal details this way.
  • Task progress: if the agent is handling a multi-step task for you, it saves its progress until the task ends, then deletes it after 90 days.

To make memory work, conversations and saved information may be summarised or indexed for search by one of the AI model providers described on our Subprocessors page.

Details are on our Data Retention and Deletion page.

5. Training

  • GenFleet does not use your messages, or businesses' data, to train AI models.
  • On our AI gateway, every model call routed through our model router goes only to model hosts that do not collect data and keep no copy of it, from a fixed list we choose. A host that keeps or trains on prompts can only be configured for our internal test workspaces, never for customers.
  • Other model calls go directly to a model provider under that provider's terms. Our Subprocessors page describes the types of model provider that may receive your data and summarises their terms.
  • If a business uses its own key for a model provider, that provider acts under the business's own agreement with it.
  • We may keep short conversation excerpts, with names, phone numbers and other identifiers removed, to write and test the platform's safety rules. They are not used to train AI models, and businesses can opt out.
  • Data from Meta channels (WhatsApp, Messenger, Instagram) is never used to train or improve any AI model, and never used as safety examples, as Meta's terms require.

6. Which models are used

The business chooses the model for each agent from the models we offer, or connects its own provider account. The models we offer are run by AI model providers in the USA and Egypt, listed by type on our Subprocessors page.

7. Copies of model requests

Our AI gateway keeps a copy of each model request and reply for 90 days so we can investigate errors and abuse, and check usage. Only authorised GenFleet staff can access them.

8. Your rights

See our Privacy Policy. For data a business holds about you, contact that business first. You can also write to privacy@genfleet.ai.

For businesses: suggested notice to your customers

You are responsible for telling your customers that they are talking to an AI. Under the EU AI Act (Article 50), this is a legal duty for AI systems that interact with people in the EU. Meta's WhatsApp policies also require a clear path to a human.

Suggested first message, which you can adapt:

Hi, I'm [[Business]]'s AI assistant. I can help with [[topics]]. I may make mistakes. Type "agent" at any time to talk to a person. We use GenFleet and AI model providers to answer you. See how we handle your data: [[link to the business's privacy notice]].

Suggested Arabic version:

تعرّف على كيفية تعاملنا مع بياناتك: [[link to the business's privacy notice]].

Use the same keyword for reaching a person that your agent is set up to recognise.

Your privacy notice should say that you use an AI assistant, name GenFleet as your service provider, link to our Subprocessors page, say how long conversations are kept, and explain how customers can ask for deletion.
